Top Power Apps Use Cases for Boosting Productivity and Efficiency

Here are the Top Power App Use Cases for Boosting Productivity and Efficiency.

If you're just learning about Power Apps or are wanting to learn more about what it can do and when to use it, you've come to the right place!

You might be wondering...

What scenarios are ideal for leveraging Power Apps?

Today, we embark on a journey to answer this question, exploring the top Power Apps use cases for businesses of all shapes and sizes.

Introducing Microsoft Power Apps

Microsoft Power Apps has emerged as a game-changer, empowering organizations to create custom applications tailored to their unique needs without extensive coding expertise.

This means that non-coding experts can technically learn Power Apps and begin creating applications for their organization. Yay!

From automating tedious tasks to bringing a business process to life, the possibilities with Power Apps are extensive.

Trust me, I see it all the time.

Once people start to realize what’s possible with Power Apps (as well as how much faster and easier it is), they just can’t stop thinking about all the different applications they could build to make theirs and their co-workers lives easier.

But, if you’re looking for some help with figuring out ideas for what you could build Power Apps applications for, here’s some examples.

I’ll include both basic scenarios as well as real world Power Apps Success Stories from real applications we've built for our clients.

Using Excel? There’s a better way.

Imagine a scenario where your sales team spends valuable hours manually inputting data from various sources into spreadsheets, leading to errors, inefficiencies, and hours spent organizing and even fixing the data.

With Power Apps, you can automate, enhance, and simplify data collection processes, seamlessly integrating with existing systems such as SharePoint or SQL.

By creating a custom app that centralizes and simplifies data entry, your sales team can focus on what matters most – building client relationships and closing deals.

In other words, if you’re using Excel for a business process, chances are there’s a better way.

Paper Processes

Time and time again I see companies using paper processes when yes, there’s a better way.

Not to say you should NEVER use paper, but let me give you some examples of some paper processes/scenarios that can easily be turned into a Power App:

  • Getting documents signed – Did you know Power Apps can easily capture signatures?

  • Field Data Collection – Using Power Apps mobile capabilities, in-field users can capture and record data (even offline).

  • Quality Inspections – Need to save pictures? Power Apps has you covered.

But now that we’ve brought up some scenarios and use cases, let’s go over some real ones I’ve seen as we’ve built Power Apps solutions for our customers.

Real-World Success Stories

Story # 1 – Shipping Management Solution for a large Window Manufacturer

A company was struggling with data visibility and insights on their many large shipments of windows and doors per day.

They wanted a way to be able to easily track and see the follow key data points and visualizations:

  • What shipments were in progress, where each truck was going, etc.

  • What all the order details were for each shipment.

  • The revenue, costs, and order totals for each shipment.

  • A high-level overview month to month, day to day, and year to year of these and other data points.

  • A time tracking method that employees related to ordering and shipping could use to track time spent on each order/shipment.

With the help of Power Apps, Power Automate, and SharePoint, we were able to build a wonderful Power Apps application that accomplished all of these – and then some.

One of the best parts was the integration with the companies already established order management system.

We simply retrieved order information from their system on a regular basis that allowed us to more easily capture accurate data about each order and shipment.

Another key takeaway with this project was that often times, when you’re upgrading to Power Apps, you’re able to do even more than you originally thought would be possible.

One application leads to many other application ideas that stem from the original.

For example, while building this application, we made plans to create applications to help truck drivers map out their truck load of items, easily identify what items went to which order/customer, and allow the truck driver to digitally capture information from the customer upon delivery.

Story # 2 – Project Management Solution for a Non-Profit Humanitarian Company

A non-profit humanitarian company with the goal of eliminating extreme poverty in the world needed a better solution for managing all the aspects of the many important projects they did each year.

Some of key needs they had were:

  • Automated, standardized, and easy method of reviewing/approving project requests.

  • Track project information such as: budget, actual costs, documents, pictures, donors, progress, and more.

  • Allow potential and current donors to more easily visualize the impact they would have or were having.

Again, with the help of Power apps and other Microsoft tools, this non-profit company was able to take their project management to the next level.

Vital data was captured like never before and allowed for much better reporting.

This Power Apps solution made their employees and volunteers lives easier, so they could focus on what they did best – help end extreme poverty.

Story # 3 – Document Approval Solution for a Large Government Agency

A large government agency had many approval processes that involved reviewing and approving documents.

The documents could be related to various processes and purposes, so they decided a standard “Document Approval” process would be helpful to organize, secure, and automate their approval processes.

You guessed it, Power Apps was used to create a simple document approval process that tracked comments, automatically stored their related documents in the correct place, sent email notifications, and more.

One of the best parts of this solutions was a “My Actions” and “My Requests” page that allowed them to see which approval processes needed their attention and where their own requests were at in the process.
